We are committed to protecting your privacy and being transparent about how information is processed when you use PolyTalk.
This Privacy Policy explains how we collect, process, use, store, share, retain, and protect information in connection with:
The PolyTalk Android application ("PolyTalk App")
PolyTalk's hosted/cloud services, including app.polytalk.io
The PolyTalk website at https://www.polytalk.io
PolyTalk self-hosted and enterprise deployments
The way information is handled may differ between our hosted services and self-hosted deployments. Those differences are explained below.

1. Who We Are
The PolyTalk Android application and PolyTalk hosted services are operated by:

For the hosted PolyTalk service, BizzAppDev Systems Pvt. Ltd. determines how information is processed to provide, maintain, and secure the service.
For self-hosted or enterprise deployments, the organization operating the deployment may control the data processed within its own environment. See Section 13 for more information.
2. What This Privacy Policy Covers
This Privacy Policy applies to information processed through the following PolyTalk products and services.
2.1 PolyTalk Android App and Hosted Services
This includes information processed when you use the PolyTalk App and associated hosted/cloud services, including account information, audio submitted for translation, transcripts, translated content, session information, subscription information, analytics, technical information, and support communications.
2.2 PolyTalk Website
This includes information you voluntarily provide through forms, inquiries, demo requests, waitlists, and support requests, as well as information collected through essential website technologies and analytics.
2.3 Self-Hosted and Enterprise Deployments
Where an organization deploys PolyTalk within its own infrastructure, the organization operating that deployment may act as the data controller for information processed through that deployment.
In those deployments, PolyTalk generally acts as a software provider and does not independently control the organization's communication data unless access is specifically provided to us, such as for support, maintenance, troubleshooting, or another authorized purpose.
3. How PolyTalk Processes Your Data
PolyTalk processes audio and related translation information to provide real-time transcription, translation, and speech generation.
The PolyTalk App allows users to choose whether new session history is stored.
When history storage is enabled, PolyTalk may retain the types of session information selected by the user according to the applicable retention setting.
Depending on the selected history-storage option, this may include:
Recorded audio
Transcripts
Translated text
Source and target languages
Session timestamps and duration
Other session metadata
Generated translated speech or audio, where applicable
When history storage is disabled, new session history is not retained as accessible account history. Audio may remain temporarily available for processing for approximately 10–20 minutes before it is removed according to PolyTalk's processing procedures.
Limited technical, security, or operational records may still be retained as described in this Privacy Policy.
PolyTalk's core speech recognition, translation, and speech synthesis processing does not use third-party APIs. These functions are processed using PolyTalk's own processing infrastructure and the models and technologies used within that infrastructure.
4. Information We Collect or Process
Depending on how you use PolyTalk, we may process the following categories of information.
4.1 Account Information
This may include:
Name
Email address
Internal account or user identifier
Authentication information
Social sign-in provider information, where applicable
Account preferences
Selected languages and language preferences
Passwords, where applicable, are protected using appropriate security controls and are not stored or displayed to us in plain text.
4.2 Audio and Translation Information
When you use PolyTalk's translation features, we may process:
Microphone audio submitted for transcription or translation
Transcripts
Translated text
Generated translated speech or audio, where applicable
Source language
Target language
Session timestamps
Session duration
Other session metadata
PolyTalk's speech-to-text processing uses self-hosted speech-recognition models and technologies within PolyTalk's processing infrastructure.
PolyTalk's text-to-speech processing uses self-hosted speech-synthesis models and technologies within PolyTalk's processing infrastructure.
Translation is performed using PolyTalk's translation and understanding processing system.
These processing components operate within PolyTalk's infrastructure. PolyTalk does not send user audio or translation content to third-party APIs for the core speech recognition, translation, or speech synthesis process.
Microphone access is used when you initiate listening or another feature that requires microphone input and grant the applicable Android permission.
Depending on your history-storage settings, audio may be retained as part of your session history.
If you choose not to store session history, new session audio is not retained as accessible account history and is temporarily retained for processing for approximately 10–20 minutes.
4.3 Subscription and Purchase Information
If you purchase a PolyTalk subscription, we may process information such as:
Selected product or subscription plan
Purchase or subscription status
Google Play purchase token
Order or transaction reference
Billing period
Purchase date
Renewal date
Cancellation date
Expiry date
Payment provider information
Payments made through Google Play are processed by Google. PolyTalk receives purchase and subscription confirmation information needed to provide and manage the service, but does not receive your complete payment-card details from Google Play.
Razorpay is not used for purchases within the production PolyTalk Android consumer application. Payment services such as Razorpay may be used through other PolyTalk channels where offered.
4.4 Usage and Analytics Information
PolyTalk processes product usage and analytics information, including:
App interactions
Feature usage
Page or screen names
App version
Platform information
Language and configuration selections
Subscription status
Performance and latency measurements
Error categories
Success or failure status
Event timestamps
PolyTalk uses self-hosted PostHog for product analytics.
Analytics events use randomly generated pseudonymous identifiers rather than names, email addresses, or internal database identifiers. These identifiers allow related product events to be associated over time but are not intended to directly identify a user.
Analytics data is therefore pseudonymous rather than fully anonymous.
PolyTalk restricts analytics properties and does not intentionally include the following in analytics events:
Audio
Transcripts
Translated content
Passwords
Payment credentials
Purchase tokens
Analytics may be used to understand product usage, measure performance, identify product issues, and improve PolyTalk.
4.5 Technical and Diagnostic Information
We may process technical and operational information necessary to maintain service reliability and security, including:
IP address
Device information
Operating-system information
App version
Network request information
Security logs
Audit logs
Diagnostic information
PolyTalk does not currently use a separate crash-reporting SDK or additional crash-reporting service.
4.6 Support Information
If you contact PolyTalk for assistance, we may process:
Support messages
Ticket references
Uploaded attachments
Attachment filenames
Communication history with our support team
PolyTalk uses Outlook as an email service for email communications, including support and account-related communications.
We use support information to respond to requests, troubleshoot issues, and provide customer support.
5. How We Use Information
We use information for purposes such as:
Creating and authenticating accounts
Providing transcription and translation
Providing text-to-speech and translated audio features
Saving session history when enabled
Managing subscriptions
Verifying purchases
Providing customer support
Preventing fraud, abuse, and unauthorized access
Maintaining security and audit records
Diagnosing errors
Monitoring and improving performance
Understanding product usage
Improving PolyTalk and its services
Meeting tax, accounting, regulatory, and legal obligations
AI and Model Training
PolyTalk does not use your audio, transcripts, translated text, or session content to train general-purpose AI models.
Your content is processed to provide the translation and related features you request and is not used as training data for general-purpose AI models.
We do not sell personal information.
We do not use personal information for advertising purposes.
6. Session History and Storage Preferences
PolyTalk provides users with controls over how session history is stored.
Depending on the available service configuration, users may choose options such as:
Do not store session history
Store metadata only
Store transcripts, translations, metadata, and audio
Store information for a selected retention period
Keep information until it is deleted
Available retention periods may include 7, 30, 90, or 365 days, depending on the product configuration.
Your selected setting determines how long applicable session information is intended to remain available as account history.
When history storage is disabled, session audio may be retained temporarily for approximately 10–20 minutes to complete processing. It is then removed according to PolyTalk's processing procedures.
Removing session history from the visible account may not mean that every technical copy is immediately removed from all systems.
Security, audit, backup, billing, fraud-prevention, and legally required records may be retained separately where permitted or required.
7. Microphone and Audio Processing
PolyTalk requires microphone access for features that translate spoken language.
Audio is processed to provide the requested transcription and translation functionality.
Microphone access occurs when you initiate listening or another feature that requires microphone input and grant the applicable Android permission.
When history storage is enabled, applicable audio may be retained as part of your session history according to your selected retention setting.
When history storage is disabled, audio is temporarily retained for processing for approximately 10–20 minutes and is not retained as accessible account history.
PolyTalk does not use your audio or resulting transcripts to train general-purpose AI models.
8. How We Share Information
We do not sell or rent personal information.
PolyTalk's core speech recognition, translation, and speech synthesis processing does not use third-party APIs. User audio and translation content is processed within PolyTalk's infrastructure.
We may share or permit access to information with service providers where necessary to operate PolyTalk, including categories such as:
Cloud hosting and infrastructure providers
Authentication providers
Email service providers, including Outlook
Product analytics infrastructure, including self-hosted PostHog
Payment and subscription providers
Google and Google Play for Android distribution and subscription processing
Customer-support providers, where used
Professional advisers
Government authorities or other parties where required by law
Service providers that process information on our behalf are expected to process that information according to our instructions and applicable contractual and legal requirements.
Some third parties, such as Google Play and email service providers, may process information independently under their own terms and privacy policies.
9. Subprocessors and Third-Party Services
PolyTalk uses selected third-party services for limited operational purposes, such as email communications, payment processing through applicable channels, Android distribution and subscription processing, and other infrastructure or business functions.
PolyTalk does not use third-party APIs for its core:
Speech recognition
Translation
Text-to-speech
The speech-processing technologies used by PolyTalk operate within PolyTalk's processing infrastructure.
PolyTalk currently uses:
Self-hosted PostHog for product analytics
Outlook for email communications
Google Play for Android distribution and Google Play subscription processing
Payment providers through applicable PolyTalk channels, including Razorpay where offered outside the production Android consumer application
Third-party services may have their own privacy policies and terms governing their processing activities.
10. Google Play and Subscriptions
PolyTalk subscriptions purchased through Google Play are subject to Google's payment and subscription systems.
PolyTalk may receive information required to verify and manage your subscription, including purchase tokens, transaction references, subscription status, and relevant dates.
PolyTalk does not receive your complete payment-card information from Google Play.
Deleting your PolyTalk account does not automatically cancel your Google Play subscription.
If you have an active Google Play subscription, you must separately cancel the subscription through Google Play to prevent future subscription charges, subject to Google's applicable subscription terms.
11. Data Security
We use reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.
Depending on the service and infrastructure, these measures include:
Encryption in transit
Restricted access controls
Authentication and authorization mechanisms
Secure credential and token handling
Access logging
Security monitoring
Incident response procedures
Infrastructure security controls
Access to systems and information is restricted to authorized personnel and processes based on operational requirements.
No internet-based service can guarantee absolute security. We therefore cannot guarantee that information will never be subject to unauthorized access, loss, or other security incidents.
12. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including:
Providing the service
Maintaining account functionality
Providing support
Security and fraud prevention
Maintaining audit records
Processing subscriptions
Meeting tax, accounting, regulatory, and legal obligations
Resolving disputes
Enforcing agreements
Different categories of information may therefore have different retention periods.
Temporary Audio
When session history is disabled, audio used for processing may be temporarily retained for approximately 10–20 minutes.
Session History
Session information retained as account history is handled according to the user's selected history-storage and retention settings.
Available settings may include 7, 30, 90, or 365 days, depending on product configuration, or retention until deleted.
Server Logs, Audit Records and Backups
Server logs, audit records, backups, and other technical copies may be retained for periods appropriate to operational, security, recovery, and legal requirements. Retention periods may vary depending on the system and record type.
Billing, Tax, Security and Legally Required Records
Billing, tax, security, fraud-prevention, audit, dispute-resolution, and legally required records may need to be retained after other account information has been deleted.
The applicable retention period depends on the purpose and requirements applicable to the relevant record.
Account Deletion and Retention
When an account is deleted, PolyTalk takes steps to disable the account and remove or de-identify associated personal information, subject to applicable retention requirements.
Certain associated records may continue to be retained where necessary for operational, security, accounting, tax, fraud-prevention, dispute-resolution, contractual, or legal purposes.
Such information is retained only for the applicable purpose and is subject to the relevant retention and deletion processes.
13. Self-Hosted and Enterprise Deployments
PolyTalk also provides self-hosted and enterprise deployment options.
When an organization deploys PolyTalk within its own infrastructure:
The organization may act as the data controller for data processed through that deployment.
The organization determines how its data is collected, stored, accessed, and retained.
PolyTalk generally acts as a software provider.
Communication data may remain within the organization's infrastructure.
PolyTalk does not ordinarily have access to data within a self-hosted deployment unless the organization explicitly grants access, for example for support, troubleshooting, maintenance, or another authorized purpose.
Organizations operating self-hosted deployments are responsible for configuring and operating their deployment in accordance with applicable privacy and data-protection requirements.
14. Your Choices and Rights
Depending on your location and applicable law, you may have rights relating to your personal information, including rights to:
Access information associated with your account
Correct inaccurate information
Request deletion
Object to or restrict certain processing
Request a copy of certain information
Manage session-history preferences
Select available retention periods
Remove available session history
Change account information or password
Manage available analytics preferences
Delete your PolyTalk account

15. Account Deletion
If you have created a PolyTalk account, you can delete your account through the PolyTalk Web App or PolyTalk Android App.
If you cannot access the apps, you can request account deletion using the contact method provided on our publicly accessible account-deletion page:

Web App
To delete your account from the PolyTalk Web App:
Sign in to PolyTalk.
Open Settings.
Scroll to the bottom of the Settings page.
Select Delete your account.
Follow the instructions to confirm deletion.
Android App
To delete your account from the PolyTalk Android App:
Open PolyTalk.
Open Settings.
Go to Privacy & Support.
Open Privacy Center.
Select Delete Account.
Follow the instructions to confirm deletion.
You do not need to install the Android App to request account deletion. The public account-deletion page provides information about the available deletion methods.
What Happens When You Delete Your Account
When you request account deletion, PolyTalk processes the request in accordance with its account-deletion procedures and applicable legal and operational requirements.
For authenticated in-app deletion, you are required to confirm the deletion using your current password.
After confirmation:
Your account is disabled.
Existing authenticated sessions are invalidated.
Personal information associated with the account is removed or de-identified, subject to applicable retention requirements.
Access to the deleted account is no longer available.
Certain account preferences and associated information are cleared where applicable.
Session history and related information are handled in accordance with the applicable storage, deletion, and retention processes described in this Privacy Policy.
Certain technical, security, analytics, billing, audit, or legally required records may continue to be retained where necessary for legitimate or legal purposes.
Information retained for these purposes is handled in accordance with applicable retention and deletion requirements.
Deletion Timing
For deletion performed through the authenticated PolyTalk Web App or Android App, account deactivation and applicable personal-information removal are normally processed immediately during the deletion request, typically within a few seconds.
If a required service is temporarily unavailable, the deletion request may need to be completed after service restoration.
For deletion requests submitted by email, we may require identity verification before processing the request.
Retained Information
PolyTalk may retain limited information after account deletion where necessary for:
Accounting and financial records
Tax obligations
Subscription and payment reconciliation
Refund processing
Fraud prevention
Security and abuse prevention
Audit requirements
Dispute resolution
Enforcement of agreements
Legal or regulatory obligations
Retained information is handled according to the applicable purpose and retention requirements.
Deleting your account does not automatically cancel an active Google Play subscription. You must separately manage or cancel the applicable subscription through Google Play.
16. Data Processing and Storage Location
PolyTalk's core application data and processing infrastructure are operated within India.
PolyTalk's core speech recognition, translation, and speech synthesis processing does not rely on third-party APIs.
PolyTalk uses Outlook as an email service for account-related, support, and other email communications. Email communications may be subject to the service provider's own processing practices and privacy terms.
Where applicable, third-party services used for specific operational purposes may process information according to their own terms and privacy policies.
